2.2 Candidate Profile & Resume Information
For job seekers, we collect:
- Security clearance level and type
- Work authorization status
- Skills, experience, and qualifications
- Employment history and education
- Location and work preferences
- Uploaded resume documents and extracted resume content
Important: Users must not upload classified information. ClearedCareers does not request or store classified material.
2.3 Employer Information
For employers and recruiters, we collect:
- Company name and business contact details
- Recruiter and team member information
- Job postings and requirements
- Subscription details
- Billing contact information
2.4 Payment Information
Payments for subscriptions or event booths are processed through third-party, PCI-compliant payment processors. ClearedCareers does not store full credit card numbers on our servers.
Payment processors handle card data directly in accordance with their own privacy and security policies.
2.5 IP Address & Security Log Data
We automatically collect technical and activity information, including:
- IP address (IPv4 or IPv6)

2.6 Usage & Activity Data
We collect data regarding Platform usage and job engagement, including:
- Job searches and filters
- Job impressions and jobs viewed
- Jobs for which a candidate clicked Apply
- Whether a job routes to an external employer site
- Timestamps and related activity associated with job engagement
- Candidate and employer identifiers associated with those actions, where applicable
- Resume database searches
- Event registrations and participation
- Virtual booth interactions
- Chat and messaging activity
- Session duration and engagement metrics
When you click Apply on a job, including jobs that send you to an employer's own site, we record that action and may share your identity and candidate information, such as name, email, phone, resume, profile, clearance, and job-interest data, with that employer for recruiting and reporting purposes. This applies to authenticated candidates; we do not expose anonymous users to employers.
2.7 Chat & Messaging Data
The Platform includes live chat and messaging features for hiring events and recruiter communication. We store:
- Chat transcripts
- Timestamps
- Participant identifiers
Chat content may be retained for operational, compliance, dispute resolution, and abuse prevention purposes. Employers who receive candidate information may independently retain communications under their own policies.
2.8 Automated Processing & Matching
We may use automated systems to:
- Parse resume content
- Extract structured data (e.g., skills, clearance level, location)
- Match candidates to job postings
- Rank search results
These processes assist in job matching and platform functionality but do not make final hiring decisions.
3. How We Use Information
We use collected information to:
- Provide job search and resume database services
- Record candidate interest in job postings and facilitate employer-candidate connections
- Share candidate information with employers when a candidate clicks Apply or otherwise expresses interest in a job
- Generate employer-facing and candidate-facing job engagement reports
- Measure job performance and platform engagement
- Operate virtual hiring events
- Process subscriptions and payments
- Provide support and account services
- Improve platform functionality and job matching
- Detect and prevent fraud, abuse, and misuse; maintain audit logs; and support dispute resolution

4. SMS Communications
If you provide your phone number to ClearedCareers through account registration, job applications, profile creation, or event registration, you consent to receive SMS messages from ClearedCareers related to your use of the Platform.
These messages may include:
- Account notifications and alerts
- Authentication messages (one-time passcodes / 2FA)
- Hiring event reminders, scheduling updates, and check-in instructions
- Job-related notifications and platform updates
Some SMS messages may include links to event details, maps, driving directions, or account-related pages.
Message frequency varies. Message and data rates may apply.
You may opt out of SMS communications at any time by replying STOP to any message. For assistance, reply HELP.
ClearedCareers does not send SMS messages without user consent and does not use purchased or third-party contact lists. SMS consent is not shared with third parties or affiliates for their own marketing purposes.
5. IP Blocking & Abuse Prevention
To protect our users and infrastructure, we maintain automated and manual systems to detect suspicious activity.
IP addresses may be blocked for:
- Repeated failed login attempts
- Scraping or automated data harvesting
- Fraudulent or abusive behavior
- Security threats

6. Information Sharing
6.1 With Employers
When a candidate clicks Apply, submits an application, participates in an event, or otherwise expresses interest in a job through the Platform, ClearedCareers may share relevant candidate information and related job-interest or engagement records with the employer associated with that opportunity.
Depending on the workflow and available data, information shared with employers may include:
- Name, email, and phone
- Resume or resume link
- Profile details or profile link
- Clearance, location, and qualifications
- Fit or match-related information, when available
- Records showing job interest or apply-click activity
If an application must be completed on an employer’s website or a third-party system, we may record that the candidate clicked Apply or was redirected to that site and share that interest with the employer. We may not be able to confirm completion of the external application unless that information is provided back to us.
Employers become independent controllers of information once received.
6.2 Service Providers
We use trusted service providers to operate the Platform, including:
- Cloud infrastructure providers (e.g., AWS)
- Hosting platforms
- Database providers
- Email delivery services
- SMS delivery services
- Payment processors
- Analytics services
These providers are contractually obligated to protect personal information. All primary data hosting occurs within the United States.
